Excluding Fields from Editing

Last published at: March 19th, 2023

For the Find & Replace and Mass Update actions, you can limit the fields that are available for updating. This way users cannot update certain fields in bulk, but can still edit these fields on single records.

Excluded fields available in Macros

Fields that are excluded for use in the Find & Replace and Mass Update actions can still be set for updating in any Macros‍ based on these actions. This means that the excluded fields can still be edited by users that execute such macros.

Accounts and Person Accounts

The Account and Person Account objects are treated as two separate objects for excluding fields. You can set certain fields to be excluded from updating for Accounts, yet still be available for Person Accounts, and vice versa.
However, if you have a list with both Account and Person Account records selected, and you start a Find & Replace or Mass Update action, the Exclude Fields settings as set for Accounts will be applied to all records. Fields that are set to be not editable for Person Accounts will be editable in this specific situation.

To exclude fields from updating:

  1. In DAP Setup, go to the Action Library.
  2. At the 'Find & Replace' or 'Mass Update' action line, click Edit.
  3. In the 'Exclude Fields' block, click + Add Object if the object is not present yet.
  4. Enter the object you want to exclude fields for and click Save.
  5. On the right-hand side, in the Add Fields search box, find the fields you want to exclude. Click on a field to add it to the exclude list.
  6. Add more objects and fields if needed.
  7. Remove any field by clicking its Delete icon, or remove the configuration of an entire object in one go with its Delete  button. All affected fields will become available again for updating in the action.
  8. When you're done, click Save bottom right.
  9. Repeat for the other action if needed.

The selected fields now cannot be used anymore in the Find & Replace and Mass Update actions. Do note that they can still be set for updating in any Macros‍ based on these actions.
